Matters Arising
Further to Minute 3.1 the Board:
1. Confirmed it would welcome a draft lettings policy to community organisations at Mile End Pavilions. The policy would potentially establish a second tier of fees applicable to community organisations such as the Friends of Mile End Park.
2. Received a legal briefing note and guidance document on the powers and duties of trustees of the King George’s Field charities. |

King George's Fields Charitable Trust Annual Report and Accounts, 2016/2017 PDF 121 KB The King George’s Field Charity Board is recommended to:
1. Agree the annual report and accounts for the King George’s Field, Mile End Charity (registered number 1077859) for the 2016/2017 financial year set out in Appendix 1.
2. Agree the annual report and accounts for the King George’s Field, Tredegar Square charity (registered number 1088999) for the 2016/2017 financial year set out in Appendix 2.
3. Subject to approval of 1 and 2 above, and the Councils Accounts for 2016/17 being signed off, authorise the Trust to sign the 2015/16 annual reports and accounts for submission to the Charity Commission by 31st January 2018. Additional documents:

That the King George’s Field Charity Board:
1. Approves the annual report and accounts for the King George’s Field, Mile End Charity (registered number 1077859) for the 2016/2017 financial year set out in Appendix 1 of the report.
2. Approves the accounts for the King George’s Field Tredegar Square charity (registered number 1088999) for the 2016/2017 financial year set out in Appendix 2 of the report.
3. Authorises the signing of the 2016/17 annual report and accounts for submission to the Charity Commission by 31st January 2018.
Action by: CORPORATE DIRECTOR CHILDREN’S SERVICES (D. Jones) (Stephen Murray –Head of Arts, Parks and Events). Minutes: Stephen Adams, Finance & Resources Manager, introduced the report, which provided details of the annual report and accounts of the King George’s Field Mile End and King George’s Field Tredegar Square charities for the 2016/2017 financial year.
The Board noted the increased expenditure incurred by the King George’s Field Mile End charity in 2016/17 compared to the previous year and asked that management accounts are provided to each meeting to enable it to better identify areas of surplus/deficit in advance of annual accounts. Mr Adams indicated he would also provide the Board with the most recent monthly financial monitoring report prior to the next scheduled Board meeting.
The Board questioned why, as reported on page 22 of the agenda pack, the King George’s Field Mile End charity’s accounts are subject to the audit sign off of the Council’s main accounts for 2016/17 and asked officers to explore whether the charity’s accounts could be audited separately.
RESOLVED:
That the King George’s Field Charity Board:
1. Approves the annual report and accounts for the King George’s Field, Mile End Charity (registered number 1077859) for the 2016/2017 financial year set out in Appendix 1 of the report.
2. Approves the accounts for the King George’s Field Tredegar Square charity (registered number 1088999) for the 2016/2017 financial year set out in Appendix 2 of the report.
3. Authorises the signing of the 2016/17 annual report and accounts for submission to the Charity Commission by 31st January 2018. |
